Your Annual Billing Policy Reminder

Hello Clients,

We hope you’ve found our newsletters helpful and informative this year!

To help you stay informed about the services we provide year-round and how they are billed, we’re sharing our billing policy, as it’s stated in our current tax engagement letters, as an annual reminder:

Fees and Payment Terms

Our fee is based on the forms required and the time required, billed at our current standard rates and minimums, plus any out-of-pocket expenses. Payments are due upon receipt and are required prior to filing. If you choose not to file your returns at any point during this engagement, payment for all work completed up to that point remains due in full.

Accounts are considered delinquent if payment is not received within 30 days of the invoice date, and interest will accrue on unpaid balances. The interest rate for delinquent accounts will bear interest at the rate of eighteen percent (18%) per annum, or the maximum rate allowed by law, whichever is less. If payment is not received within 60 days, the firm reserves the right to suspend services and you expressly agree to pay all collection costs, including reasonable attorney fees, court fees, administrative fees, and any other fees incurred.

If payment is not received timely, we may withhold filing, resulting in late returns. You will be responsible for any penalties and interest associated with the delay.

Additional Services

Services beyond tax return preparation—such as accounting, bookkeeping, consulting (e.g., meetings, calls, emails, or tax advice), tax planning, estimate calculations, responding to IRS notices, Nexus studies, compliance filings (e.g., 1099s), or providing additional tax return copies—are billed separately at our standard rates and minimums unless agreed upon in a separate engagement letter. It is your responsibility to request these services if needed.

We may provide accounting and bookkeeping assistance as deemed necessary for tax return preparation, including but not limited to phone calls, emails, letters, or third-party consultations. All such time and services will also be billed separately at our current standard rates and minimums.

We believe clear expectations lead to better communication and a better overall experience, allowing us to provide the guidance and support you rely on year-round. If you have any questions, please don’t hesitate to reach out.

Thank you for your continued trust—we truly appreciate working with you, and we wish you and your family a happy and healthy New Year!

Sincerely,
Taxman/Busek Olson & Associates/West Fargo Tax & Accounting
